The U.S. Department of Transportation's Contracting department had inadequate records management polices and procedures, and had no technology to assist in managing the approximate 10,000 active and rapidly expanding population of Contract file folder records. Top tab folders were used in open-shelf file shelving and there was no color-coding of primary index (contract #). Some documents were placed in boxes and were not indexed properly. There was no database corresponding to the physical file folder records!
U.S. Department of Transportation implemented VirtualDoxx's SmartTraxx database management system to create a registry of all contract files. Data to populate the database was manually captured from the existing documents and files. Color-coded RFID, side-view file folder labels were printed and applied to side-tab 'converters' and placed on top tab folders. RFID file tracking and a portable scanner for inventories and finding files was implemented. Now, U.S. DOT enjoys 'best practice' records management!
